WHAT’S THE JOB?
The Executive Meeting Manager is responsible for proactively identifying, securing, and managing small group business (10–34 peak room nights). This role focuses on maximizing revenue through strategic upselling and effective account management.
The position is accountable for achieving individual and team revenue goals while delivering a high level of service throughout the entire event lifecycle. Responsibilities include preparing event documentation, coordinating closely with sales and operations teams, and serving as the primary point of contact for clients to ensure seamless execution from initial booking through post-event follow-up.
This role is instrumental in building strong client relationships, enhancing customer experience, and growing overall account value.
WHAT YOU BRING TO THE ROLE
- 3+ years of proven success managing high-level meetings and events within a luxury or full-service hotel environment
- Strong understanding of corporate and association group segment dynamics, with the ability to anticipate client needs and deliver seamless experiences
- Proficiency with event management systems such as Delphi.fdc and diagraming tools like Social Tables (or similar platforms)
- Familiarity with the Minneapolis-St. Paul and Bloomington markets, with an ability to position the hotel competitively
- A detail-driven, solutions-orientated mindset with a focus on execution, communication, and client satisfaction
YOUR DAY-TO-DAY
Sales and Business Development
- Handle incoming leads within deployment guidelines. meet solicitation, outside and maintenance call requirements
- Maintain appropriate balance of account maintenance and prospecting for new business
- Join and attend appropriate market organizations
- Be familiar with hotels’ competitive set and shared accounts
- Plan and prepare appointments for site inspections, on-site appointments, outside sales calls and tradeshows
Client Management and Service Delivery
- Detail and service on-site groups in a proactive manner, working with the logistics of food and beverage, public meeting space and the billing process
- Display leadership in guest hospitality, exemplify excellent customer service and create a positive atmosphere for guest relations
- Understand the importance of and maintain high meeting planner evaluation scores. Implement effective methods to ensure the hotel exceeds meeting planner’s expectations
- Ability to multi-task between multiple groups and short-term requests
- Establish and maintain effective and profitable relationships with customers
Event Planning and Execution
- Review all client details to ensure the successful execution and flow of events including: banquet event orders, food, beverage and meeting needs, rooming lists, ground transportation, special room service needs, group resumes, master account billing and audio visual
- Work closely with banquet department on operations and event execution, ability to consistently deliver flawless events
- Provide overall direction, coordination and ongoing evaluation of operations. Ensure detailed execution of all banquet event orders
Food and Beverage Collaboration
- Ability to provide experienced food and beverage recommendations to clientele, work closely with culinary team on specialty menus and pricing and produce artistic and innovative menus on request
Revenue Management and Performance
- Responsible for achieving group and banquet budgeted revenues
- Follow revenue and rate guidelines
- Display demonstrated knowledge and ability to upsell clients while promoting a high level of service equal to the luxury stature of the property
Administrative and Systems Management
- Responsible for prompt handling (within the business day) of incoming calls and inquiries, monitoring the efficient flow of paperwork as it relates to upcoming events and projects
- Maintain and log all client communications in Delphi.fdc (Amadeus). It is the responsibility of the individual to use Delphi to keep in touch with clients through phone calls, emails, letters and personal meetings
Leadership, Strategy and Continuous Improvement
- Introduce ideas for new initiatives and practices to elevate the catering sales experience and offerings
- Attend weekly meetings as required
- Participate in monthly forecasting process and annual budget process
